Conference Frequently Asked Questions

Below are some common questions participants have about registering for the conference. If you have a question, please check here first!

 

 

I can’t remember my KOTESOL account user name and/or password. 

In order to register for the conference, you must be logged in on the KOTESOL website. If you can't remember your password or user name, go to the login page, enter your email address (the one you used to open the account) as the user name, and click "Request new password." You will receive an email with your user name and a temporary password, which can be changed after you successfully log in. (You can later change your password in your online profile: My Account --> Edit). Step-by-step instructions can also be found here.


Do I need to be a KOTESOL member to participate in the conference?

That depends. Are you a presenter or a regular attendee? NOTE: Membership and conference registration are two different things!

Presenters: YES. ALL presenters must be KOTESOL members. You do not have to be a member to submit a proposal, but you must be a member by the start of the conference. You can add a membership to your shopping cart when you register for the conference.

Attendees: No, but KOTESOL members and members of partner organizations get a discount on conference registration. (Membership must be valid through April 30, 2024.) You do not have to be a member to participate, but non-members do have to pay a bit more. Note: When you register for the conference, you'll have the option of adding a membership to your shopping cart; in that case, you can pay for a membership and a member's conference pass at the same time!

Membership fees:

  • 1-year international memberships (for people residing outside Korea): 70,000 KRW / 56 USD
  • 1-year domestic memberships (for people residing in Korea): 50,000 KRW / 40 USD
  • 1-year membership for undergraduate students (currently enrolled in associate's/bachelor's degree program): 30,000 KRW / 24 USD
  • Lifetime memberships: 500,000 KRW (400 USD)

Am I a KOTESOL member? / When does my membership expire?

You can find your KOTESOL membership information (membership type and expiration date) on your online account profile page (koreatesol.org/user) under "Expiring Roles." If nothing is written there, then you are not a member.

How much does it cost to attend the conference?

That depends on your membership status, whether you're participating in person or online only, whether you're coming for two days or just on Sunday, whether you qualify for any discounts (e.g., do you reside in an eligible low- or middle-income country? Are you registering as part of a group? Are you a student?), and whether you register before the pre-registration deadline. Here’s a description of the various pricing tiers:

* PRESENTERS: Please note these prices do not include KOTESOL membership fees. All presenters must be KOTESOL members at the time of the conference. If you are not currently a KOTESOL member, please add +50,000 KRW for domestic membership or +70,000 KRW / +56 USD for international membership. You can order a membership when you register for the conference, and you can pay for both at the same time.


 

How can I pay for the conference?

Pre-registration payments can be via domestic or international bank transfer (KRW), PayPal (USD), or Wise (KRW). After you place your order (for registration and/or membership), you'll find our banking information on the final page of the process (under "Order Complete"). Our banking information is also available here. Please include your order number on all transfers. (Your order number is listed on the final page of the checkout process and also on your order invoice; you can find the invoice in your online profile under the "Orders" tab: Log in → My account → Orders.)

Onsite registration payments can be via cash (KRW), domestic bank transfer (KRW), or PayPal (USD) only.

Why no credit cards?

While credit card processing by for-profit businesses in South Korea is supported and even encouraged by the government, the banking laws, tax structures, and reporting systems here make the use of credit cards in nonprofit associations difficult and expensive. Accordingly, almost no academic society in Korea does so. NOTE: For residents of most countries, PayPal offers a credit card option.


Did you get my payment?

Probably. We try to send out email confirmations within 7-10 business days of receiving payment, but due to the high number of people pre-registering and the amount of manual processing needed from our volunteers, this isn’t always possible. In addition, our confirmation emails are sometimes blocked by overzealous spam filters. The best way to confirm your registration (and/or print an invoice) is to go online at koreatesol.org: Log in → My account → Orders. If you haven't received registration or payment confirmation within 15 business days, please contact our registration team (registration@koreatesol.org) and let us know your order number, the name listed on your online profile, the name on the bank account sending the money, and the date on which you transferred the money.


How can I get my conference pass?

If you pre-registered by the deadline and received confirmation from the registration team, you can pick up your conference pass in the pre-registration area at the conference. It will be filed under your last/family name, as you entered it into the registration form. Conference passes will be available for pick-up ONLY during registration's open hours (see below). 

If you did not pre-register, you can purchase your conference pass in person at the conference. Cash is preferred, but we can accept domestic bank transfers (KRW) and PayPal (USD), as well. Please arrive with plenty of time to spare before the first session you wish to attend.

What's for lunch?

If you pre-register for the conference, lunch is included! A variety of Korean, Western, and vegan/halal options are available. Order your meals here by April 21.

If you do not pre-register for the conference, we encourage you to visit one of the many restaurants available near the conference venue.

All participants are welcome to enjoy the provided coffee, tea, and snacks that will be available throughout the conference.


How can I register a group of 5+ participants?

To register a group of five or more participants, please contact our registration team. We'll send you an invoice for the specified number of participants (at 120,000 KRW / 96 USD per person); then, by April 15, you can send us a spreadsheet with the last name, first name, and email address of each group member; the organization/affiliation you'd like included on all group members' conference passes; and contact information for a designated group leader. Your participants then can pick up their conference passes at their leisure at the pre-registration table at the conference (or the group leader can pick up all the passes, themselves, if you let us AND YOUR GROUP know in advance that you'd like to distribute the conference passes on your own).


I am a KOTESOL member. Can I still register as part of a group?

Yes, but if you do so you must pay the group price (120,000 KRW / 96 USD per person).


How can I get a receipt for my payment?  How can I get confirmation of registration?

You can find a printable invoice in your online profile (My account → Orders). This invoice includes a note indicating that we have received your payment. Hard copies of receipts will also be available at the conference. Please inquire at Registration. 


How can I get to the venue? / Is there parking at the venue?

The conference will be held at Sookmyung Women's University (숙명여자대학교) in Seoul. Registration, the Saturday evening social, and most sessions will be in the Prime Complex, while most plenaries will be in Samsung Hall in the Centennial Building. The nearest subway stop is Sookmyung Women's University Station (숙명여대역; Line 4), but Namyeong Station (남영역; Line 1) is also within walking distance (~10-15 minutes on foot). There is a parking garage at the Prime Complex (see the map on the venue page); please get a discount parking coupon at the Help Desk.

​How can I get an attendance certificate?

Attendance certificates will be available upon request in person at the conference. To request one, please visit our help desk.

Presenters will receive presentation certificates automatically; no request should be needed!


Can you help me get a visa?

Presenters: Please contact the program team (conference.program@koreatesol.org) to request an invitation letter.

Attendees: Sorry, we cannot provide letters of invitation of any other visa assistance.

Please note that KOTESOL membership dues and registration fees are non-refundable; we suggest that you check visa requirements with the Korean consulate in your country before proceeding.


I can’t go to the conference, but I pre-registered. What are my options?

KOTESOL membership dues and registration fees are non-refundable; however, if you've pre-registered and paid, you may give your pass to someone else. Just send us the new pass-holder's full name and affiliation as soon as possible. If we receive the new pass-holder’s name before pre-registration closes, we’ll change your name to that name. If you send us the new name after pre-registration closes, the new pass-holder can pick up your pass in the pre-registration area at the conference. It will be under your name. The new pass-holder should bring their ID to prove they are the person you have approved.
